Description:

There are a number of Member Community Managers, reporting to a Director and work with a support team of associates, meeting planners, design staff and marketing staff to complete their task. Each Manager provides functional support in a team-based approach to a variety of projects, products and activities, which are assigned according to applicable skill set and other factors.
Managers will serve as an advocate, support and facilitate activities for several specialized membership communities. The incumbents will work closely with volunteer leaders to develop products/services in different areas of architectural specialty such as healthcare architecture or religious architecture, firm types and/or career stage. The Managers facilitate the planning and development of a variety of projects including conferences, webinars, web and print publications, award programs and workshops and are responsible for coordinating efforts with other AIA departments that support member community activities.


 


Duties:

• Manage assigned projects in the areas of content development, budget stewardship, knowledge and information delivery via print and electronic means, communications and marketing.
• Include the production and delivery of some original content (10% time)
• Include significant administration (website maintainence, Lyris formatting, and agenda and email communication with volunteer leadership) and data entry for all programs (15%)
• Work with internal AIA departments to shepherd projects through AIA procedures (marketing, meetings, communications, editorial and design) (15%)
• Participate in project conference calls.
• Ensure the Member Community department content, information, activities, events, etc. are communicated in the most effective way to the targeted audience. This includes working with Directors of the member community segments in developing communication plans identified in the member needs assessment. Responsible for using multiple delivery vehicles to ensure that demographic, generational and member type issues are reflected in the Member Community messaging and communication.
• Ensure Member Communities are posting and tagging content for the AIA website and Architecture Knowledge Resource.
• Focus on program development and coordination, budget review, facilitation and client management (e.g. volunteer leadership of the AIA’s various Member Communities, etc.; as well as internal relationships between depts.( meetings, editorial and design etc.)
• Balance and Advocates member goals and aspirations for all projects (current, new and sunset) with furthering the AIA strategic plan, while maintaining project development within AIA staff resource limits
• Communicate with Sponsorship department as needed to facilitate the development of paper work to support Member Community established sponsorships; and to solicit advice on developing new sponsorship opportunities. Identify appropriate sponsor activities for specific Member Community projects. Recruit members to generate sponsor contacts. Maintain sponsor relationships.
• Track budgets, ensure revenue and expenses are kept within budget, perform financial analyses.
• Travel at least 2 times a year to support AIA national and Member Community events.

Projects may include, but are not limited to:
• Books, e-newsletters, blogs and journals; and proceedings from conferences and workshops
• Design competitions and/or awards;
• Prepare various written communications for Member Communities and general public. This includes ensuring AIA style, overseeing schedules and ensuring materials are distributed on appropriate date;
• General and member inquiries regarding subject matter related to the assigned Member Communities;
• Interdepartmental and inter-organizational staff teams on projects or other activities pertinent to the subject matter within assigned Member Communities

Experience:

• Outstanding written/oral communication skills and organizational skills. Considerable knowledge of and skill in monitoring costs, quality and on-time performance of project activities using standard project management techniques. Considerable skill in needs assessment, and defining/designing projects. Skill in facilitation, team building, collaborative problem solving, conflict resolution, and systems/process development. Skill in negotiation and active listening. Skill in the use of Microsoft Office, including Word, Excel, Access, Project and Outlook, as well as familiarity with web-based research and information dissemination applications. Familiarity with educational program marketing, knowledge capture and delivery processes. Ability to coordinate a diverse resource pool, to interact effectively in an individual membership environment, recognize and identify member concerns, analyze issues and concepts to correctly state a problem and develop recommended solutions. Ability to work autonomously. Ability to juggle multiple projects that have participation from various department, external organizations and AIA components.


Bachelor’s Degree in Business, Marketing, Public Relations/Communications, Architecture or related fields plus at least two years of project management experience or equivalent combination of education and experience. Specific, applicable and demonstrated project management experience and/or education are highly desirable. Experience in working with associations a plus.


Supervisory Requirements:

Utilizes pooled resources of meeting planners, marketing/design staff, editorial staff and administrative assistants, but does not hold direct supervisory responsibilities.
