Description:

This is an administrative support position in which the incumbent provides programmatic, project and administrative support to the Information Technology department. The incumbent is responsible for the administration and support of all audio and web conferencing used at the Institute as well as all cellular services. The incumbent will have day-to-day responsibility for tracking and reporting on the technology related budget items of all departments.


Duties:

• Coordination/reporting/review of all department technology budgets.
• Coordinator of teleconferencing booking/scheduling/assistance for the institute.
• Provide primary support for all web conferencing services used by staff.
• Supports and organizes all Cellular services for the AIA.
• Supports and organizes all technology purchases for the AIA.
• Conduct basic research, analyze data, and provide summary reports.
• Responds to letters and general correspondence of a routine nature.
• Schedule appointments and set up meetings for the Managing Director.
• Prepare various written communications (documents, letters, RFPs, Purchase Orders) for the Department.
• Provide basic Microsoft Office technical support as needed.
• Provide backup support for answering help desk calls and AMS support calls.
• Works with software and equipment vendors on pricing and ordering.
• Other duties as required.

Experience:

Superior organizational skills and detail orientation are a must. Must have a strong customer service orientation. Strong skills in oral and written communication and active listening. Experience with financial management systems desired. Ability to review and analyze budgets strongly desired. Software purchasing experience a plus. Skill in establishing and maintaining effective and efficient office management systems. Skill in multi-tasking and managing multiple duties simultaneously. Advanced experience with Microsoft Office applications (Word, Excel, Outlook, PowerPoint) required. Ability to work effectively in a fast paced environment with changing priorities. Ability to make sound independent decisions. Must be a problem solver and a self-starter.

College coursework or a college degree strongly preferred with a minimum of two to three years of responsible administrative experience.
